Student Record Management

Bay Path University has established student record management policies that ensure the protection and security of student academic records. The Registrar’s Office maintains in perpetuity the confidentiality, integrity, and security of all physical student academic records in fire-resistant cabinets in its on-campus office. Once a student has been inactive at the institution for a designated period of time, the physical academic record is digitized and then destroyed. The contents of each digitized record are made available to designated Bay Path users through a system requiring active directory authentication and are periodically backed up off-site using Amazon’s Glacier cloud storage.

Electronic student academic records (i.e. data found in Bay Path’s student information system, etc.) are made available to designated Bay Path users through active directory authentication and are backed up weekly to a Microsoft Azure cloud-based storage facility.

Safeguarding Student Records in the Event of University Closure

In the event the institution discontinues operations, arrangements would be made with the Massachusetts Department of Higher Education (Mass DHE) and the Commission on Institutions of Higher Education of the New England Association of Schools and Colleges (NECHE) to secure records and afford students access to their records. The institution would comply with all requirements including:
